v1# BST PFT — Terms of Participation **Event date:** 29 August 2026 **Host:** BST Private Gym **Event:** BST Physical Fitness Test (“BST PFT”) By registering for, attending, or participating in the BST PFT, each participant—or their parent or legal guardian if the participant is under 18—agrees to these Terms of Participation. ## 1. Eligibility and registration 1. Participants must provide complete and accurate registration information. 2. Registrations may not be transferred to another person without prior written approval from BST Private Gym. 3. BST Private Gym may establish age requirements, participation categories, qualification requirements, entry limits, or other reasonable eligibility rules. 4. A participant may be required to present identification and proof of registration at check-in. 5. Entry is only confirmed once all applicable registration requirements, including payment, have been completed. ## 2. Fitness and medical responsibility 1. The BST PFT involves strenuous physical activity and may include running, lifting, carrying, jumping, functional fitness movements, and other demanding exercises. 2. Each participant confirms that they are physically and medically capable of participating safely. 3. Participants are responsible for obtaining medical advice before the event if they have an injury, illness, medical condition, use prescribed medication, are pregnant, or have any doubt about their ability to participate. 4. Participants must disclose relevant medical information to event personnel when reasonably necessary for their safety. 5. A participant must immediately stop exercising and inform an official if they experience pain, dizziness, breathing difficulty, confusion, or any other concerning symptom. 6. BST Private Gym may prevent or discontinue a participant’s participation where event personnel reasonably believe that continuing may endanger the participant or another person. ## 3. Assumption of risk The participant understands and voluntarily accepts that participation carries inherent risks. These may include falls, collisions, equipment failure, overexertion, dehydration, heat-related illness, muscle or joint injuries, fractures, cardiac events, serious injury, permanent disability, and death. Although reasonable precautions will be taken, BST Private Gym cannot eliminate every risk associated with the event. ## 4. Safety instructions and equipment 1. Participants must attend any required briefing and follow all instructions given by event officials, judges, coaches, medical personnel, venue staff, and security personnel. 2. Participants must use equipment only as instructed and must not interfere with equipment, competition areas, timing systems, or another participant. 3. Participants are responsible for wearing suitable clothing and footwear and for bringing any permitted personal equipment they require. 4. Event officials may inspect or prohibit equipment considered unsafe or inconsistent with the event rules. 5. Alcohol, illegal substances, performance-enhancing substances prohibited by the event rules, and participation while impaired are not permitted. ## 5. Event rules, judging and results 1. Participants agree to comply with the published event format, movement standards, course requirements, time limits, and scoring rules. 2. Judges and officials may issue warnings, no-reps, time penalties, score adjustments, disqualifications, or other appropriate rulings. 3. Any objection must be submitted through the announced dispute process and within the specified time. 4. After the dispute process has concluded, the event director’s decision is final. 5. Timing, scoring, ranking, and published results may be corrected if an error is identified. 6. Participants must not falsify results, deliberately obstruct another participant, receive unauthorised assistance, or behave in an unsporting manner. ## 6. Conduct Participants and spectators must treat officials, staff, volunteers, competitors, and members of the public with respect. BST Private Gym may remove or disqualify anyone engaging in threatening, abusive, discriminatory, dishonest, reckless, disruptive, or unsafe conduct. Removal or disqualification for misconduct does not create an entitlement to a refund. ## 7. Entry fees, withdrawals and refunds 1. Entry fees and any booking charges are subject to the refund and transfer terms communicated during registration. 2. Unless BST Private Gym expressly states otherwise in writing, withdrawal, non-attendance, late arrival, disqualification, or inability to complete the event does not entitle a participant to a refund. 3. If the event is cancelled and not rescheduled, BST Private Gym will communicate the refund or credit arrangements that apply. 4. Reasonable changes to the timetable, stations, movements, categories, venue layout, or event format do not constitute cancellation. ## 8. Event changes, postponement and cancellation BST Private Gym may modify, postpone, suspend, relocate, shorten, or cancel the event where reasonably necessary because of weather, unsafe conditions, venue restrictions, equipment problems, insufficient participation, government requirements, emergencies, or circumstances beyond its reasonable control. BST Private Gym will use reasonable efforts to notify affected participants. It is not responsible for a participant’s travel, accommodation, equipment, food, or other personal expenses arising from a change or cancellation, except where liability cannot lawfully be excluded. ## 9. Personal belongings Participants remain responsible for their clothing, equipment, vehicles, electronic devices, and other belongings. BST Private Gym is not responsible for loss, theft, or damage unless caused by conduct for which liability cannot lawfully be excluded. ## 10. Emergency assistance 1. The participant authorises event personnel to arrange first aid, emergency transport, or medical treatment where reasonably considered necessary. 2. The participant remains responsible for medical and transport costs not covered by BST Private Gym or its event arrangements. 3. Emergency contact details supplied during registration may be used if an incident occurs. ## 11. Photography, video and publicity Photographs, video, audio, and results may be recorded during the event. To the extent permitted by law, the participant permits BST Private Gym and its authorised event partners to use event recordings in connection with event reporting, promotion, social media, and future BST events without additional payment. A participant with a legitimate privacy or safeguarding concern should contact BST Private Gym before the event. Any special arrangement is subject to operational feasibility and must be confirmed in writing. ## 12. Personal information BST Private Gym may collect and process personal information for registration, payment administration, participant communication, event operation, safety, scoring, results, incident management, and legal compliance. Personal information will be handled in accordance with applicable South African privacy law, including the Protection of Personal Information Act, 2013. Necessary information may be shared with service providers, medical personnel, timing providers, or authorities involved in operating or safeguarding the event. ## 13. Release and limitation of liability To the fullest extent permitted by South African law, the participant releases BST Private Gym and its owners, directors, employees, coaches, contractors, judges, volunteers, sponsors, service providers, and venue representatives from claims arising from the ordinary and inherent risks voluntarily assumed by participating in or attending the event. Nothing in these terms excludes or limits liability that cannot lawfully be excluded, including liability arising from gross negligence or intentional misconduct where applicable. ## 14. Indemnity To the fullest extent permitted by law, the participant indemnifies BST Private Gym against loss, damage, or claims caused by the participant’s unlawful conduct, intentional misconduct, breach of these terms, reckless disregard of safety instructions, or damage caused to another person or property. ## 15. Participants under 18 A participant under 18 may participate only with the consent of a parent or legal guardian and subject to any age restrictions imposed by BST Private Gym. The parent or guardian confirms that they: 1. have authority to provide consent; 2. have reviewed these terms with the participant; 3. accept these terms on the participant’s behalf; and 4. will ensure appropriate supervision and compliance with event instructions. ## 16. General provisions 1. These terms are governed by the laws of the Republic of South Africa. 2. If any provision is found to be invalid or unenforceable, the remaining provisions will continue to apply. 3. A failure to enforce a provision immediately does not waive the right to enforce it later. 4. These terms must be read with the published registration information, event rules, movement standards, refund policy, and privacy notice. If there is a conflict, the event-specific written rule communicated by BST Private Gym will apply to that aspect of the event. 5. BST Private Gym may make reasonable updates before the event. Material changes will be communicated to registered participants. ## Participant acknowledgement I confirm that: - I have read and understood these Terms of Participation. - I understand the nature and physical demands of the BST PFT. - I voluntarily accept the inherent risks of participation. - I am medically and physically capable of participating, or I have obtained appropriate medical advice. - I will follow the event rules and all reasonable safety instructions. - The information provided in my registration is accurate.
