By accessing or using the ROXScore platform, you agree to be bound by these Terms and Conditions. If you do not agree, you may not use the Service.
1. Description of Service
ROXScore is an independent event management and results platform for HYROX PFT (Physical Fitness Test), HYROX SIM (Simulation), and Deadly Dozen events. The Service enables venue administrators to manage events, athletes to register and view their results, and volunteers to coordinate station assignments.
2. User accounts
Athletes must create an account to register for events and access their history. You are responsible for maintaining the confidentiality of your account credentials and all activity under your account. You must provide accurate and complete information when registering.
3. Event registration
Entry fees are set by the hosting venue. ROXScore facilitates registration and, where online payments are enabled, processes payments on behalf of venues via the venue's chosen payment provider (Yoco, Peach Payments, PayFast, or Paystack). Entry fees are non-refundable unless the event is cancelled by the venue. The payment obligation is between the athlete and the hosting venue.
4. Venue data sharing
By default, your contact details (email, phone number, and date of birth) are shared with the hosting venue when you register for one of their events, as venues need this information to manage entries, contact you about changes, and verify age categories. You may opt out of sharing these contact details with venues at any time from your profile. Your name, entry category, and bib number remain visible to the venue regardless of this setting, as they are required to run heats, check-ins, and results.
5. Online payments
Where enabled by a venue, online payments are processed by the venue's chosen payment provider — Yoco, Peach Payments, PayFast, or Paystack. ROXScore does not store your card details. By completing a payment you agree to that provider's terms of service in addition to these Terms. ROXScore is not liable for payment processing failures, delays, or disputes caused by the payment provider or your card issuer.
6. Refunds and cancellations
Entry fees are non-refundable unless the event is cancelled by the venue. If an event is cancelled, refund arrangements are at the venue's discretion. ROXScore does not issue refunds on behalf of venues. Payment queries must be directed to the hosting venue.
7. Entry transfers
A paid entry may be transferred to another person directly from the event page, provided it has not yet been assigned to a heat. Transferring an entry is permanent and cannot be undone. Once transferred, the entry — including its payment status and bib number — belongs entirely to the new athlete. Neither the hosting venue nor ROXScore is liable for any refund as a result of a transfer. For doubles, mixed, and relay entries, the team lead transferring their own slot must nominate either the incoming athlete or an existing teammate to take over as team lead; teammates who are not transferring are not otherwise affected.
8. Complimentary entries
Venues may at their discretion grant complimentary (free) entries to athletes. Such entries are subject to the same event rules as paid entries and are non-transferable.
9. Results and data
Finish times and results are recorded by venue staff and volunteers. ROXScore does not guarantee the accuracy of results. Disputes must be directed to the hosting venue within 24 hours of the event. By participating you grant ROXScore the right to display your results publicly on the platform.
10. WhatsApp messaging
If you provide a phone number and explicitly opt in, ROXScore will send you registration confirmations, payment receipts, heat assignments, and results via WhatsApp instead of email. Providing a phone number alone does not opt you in — a separate consent step is required. Standard message and data rates from your mobile carrier may apply. You may withdraw consent at any time from your profile (athletes and venue administrators) or via the opt-out link included in your volunteer confirmation message, after which ROXScore will revert to email.
11. Venue administrators
Venue administrators are responsible for the accuracy of event information, correct result recording, correct configuration of entry fees and payment settings, respecting each athlete's venue data sharing preference, and compliance with all applicable laws including consumer protection legislation and POPIA. Venue administrators must not use the platform for any unlawful purpose.
12. Prohibited use
You may not use the Service to violate any applicable law, impersonate any person, upload malicious code, interfere with the operation of the Service, scrape data in bulk, or access data belonging to other users without authorisation.
13. Intellectual property
All content on the ROXScore platform, including text, graphics, logos, and software, is the property of ROXScore or its licensors and is protected by applicable intellectual property laws. You may not reproduce or redistribute any part of the Service without written permission.
14. Limitation of liability
To the maximum extent permitted by law, ROXScore shall not be liable for any indirect, incidental, special, or consequential damages arising from your use of the Service, including personal injury during events, loss of data, interruption of service, or payment processing issues.
15. Privacy
Your use of the Service is governed by our Privacy Policy and POPIA Compliance Statement, incorporated into these Terms by reference.
16. Changes to terms
ROXScore may modify these Terms at any time. We will update the 'Last updated' date above. Continued use of the Service after changes constitutes acceptance of the revised Terms.
17. Governing law
These Terms are governed by the laws of the Republic of South Africa. Disputes shall be subject to the exclusive jurisdiction of the South African courts.
