Promotion of Access to Information Act (Act 2 of 2000), section 51
This manual is published in terms of section 51 of the Promotion of Access to Information Act (PAIA) and describes the records ROXScore holds and the process for requesting access to them. It is separate from, and complements, our POPIA Compliance statement, which covers how we process personal information rather than how to request access to records.
1. Body to which this manual applies
This manual applies to ROXScore, a private body as defined in PAIA, operating the ROXScore event management platform for South African fitness events. The head of the private body, and Information Officer, may be contacted at support@roxscore.co.za.
2. Purpose of PAIA
PAIA gives effect to the constitutional right of access to any information held by a public or private body that is required for the exercise or protection of any rights. This manual assists requesters in identifying the records we hold and the requirements to be met when requesting access.
3. Records held by ROXScore
We hold, among others: athlete and venue-admin account and profile records; event, registration, heat, and results records; payment transaction records (processed by our payment providers — Yoco, Peach Payments, PayFast, or Paystack — and platform billing records between venues and ROXScore); communications sent via email or WhatsApp; audit logs of administrative actions; and standard corporate, financial, and operational records. Categories of personal information processed are described in full in our POPIA Compliance statement.
4. Records available without a formal request
Some records are publicly available on this website without a PAIA request, including: public event listings and results, our Privacy Policy, POPIA Compliance statement, Terms of Service, and this manual.
5. How to request access to a record
A request for access must be made using the prescribed form (Form 2 under PAIA) and submitted to the Information Officer at support@roxscore.co.za, together with sufficient detail to enable the record to be located and proof of the requester's identity. There is no charge for lodging a request; a request fee and, where applicable, access fees prescribed under PAIA regulations may apply for processing and reproducing records.
6. Grounds for refusal
Access to a record may be refused only on the grounds set out in Chapter 4 of PAIA, including protection of privacy of third parties, commercial confidentiality, legal privilege, and protection of security or law enforcement information. Where a request is refused, we will provide written reasons and inform the requester of their right to lodge an internal appeal or complaint with the Information Regulator.
7. Response timeframe
We will respond to a valid request within 30 days of receipt, as required by PAIA, unless this period is extended in accordance with the Act (in which case the requester will be notified of the extension and reasons for it).
8. Information Regulator
If a requester is dissatisfied with the outcome of a request, they may lodge a complaint with the Information Regulator of South Africa. Website: www.inforegulator.org.za. Email: inforeg@justice.gov.za.
